Receipt Upload Rule

Allow your customers to upload receipts, to bring shoppers back to your program.

Overview

The Receipt Upload Rule allows your customers to purchase your items from third-party retailers and stockists and upload their receipts to earn points in your loyalty program. Retailers can be curated, and all receipts are scanned and verified to reduce the risk of fraud.


How can the Receipt Upload Rule help you?

Allowing customers to upload their purchases from third-party stockists brings those customers directly to you, converting what was once an 'invisible' cohort of potentially loyal customers into customers you can directly interact with, cutting out the middleman. This opens your loyalty program and your store up to a whole new customer group.

The Receipt Upload Rule allows you to identify all customers currently shopping with you - not just those that shop on your owned channels. You can then market to your customers on an ongoing basis, bringing them back to your owned channels, increasing the likelihood that they will buy directly to use their points next time, and keeping them engaged between purchases.



How do you set up the activity rule?

  1. In LoyaltyLion, go to Program, and then Rules.

  2. Click the Create Rule button, and click on the Upload a Receipt rule option.

  3. You can change the title of your rule, and then choose how many points you want to give your customers for a successful receipt upload. If you have Tiers enabled, you can choose different values for each tier.

You can then add a list of approved retailers that you are happy to receive receipts from. During the verification process, we will check for these names.

You can customise the Automatic Rejection Rules next.

Any submissions that do not meet your requirements will be automatically rejected. These are optional to set up.

The Submission Window determines how long after a purchase a customer can submit a receipt for points, ensuring receipts are recent and relevant.

The Minimum Receipt Total lets you set a post-tax total that the receipt must exceed to be considered.

Customer Submission Limits allows you to cap the number of times a single customer can upload a receipt within a specified timeframe.

The submission limit considers all receipt uploads, not just approved receipts. Rejected receipts will also count towards this submission limit, therefore it may be best to have the limit a litte higher than your other limited rules.


4. Next, you can define the Approval Method. There are two options available to you.

Manual Review
All receipts must be approved by a member of your team before points are awarded to the customer. Those members will receive an email from LoyaltyLion when a receipt has been uploaded.


Automatic review and approval
Receipts will go through an automatic review. You can define the auto-approval level when it comes to risk:

Low-risk only (recommended): We will automatically approve receipts flagged as low fraud risk, with no significant fraud indicators detected.


Low and medium risk: We will automatically approve receipts flagged as low or medium fraud risk, even if some fraud signals are detected.

All risk levels: We will automatically approve all receipts that are not automatically rejected.

You can also add a Points Review Period, which will delay the awarding of points for a set number of days, allowing you to perform a secondary manual review.

5. Once you have set this up, you can then Save the rule in the top right corner.



How do we check the uploaded receipts?

In the Upload a Receipt rule, you can click the button to Manage receipt uploads, to take you to your Approve receipts page.

On this page, you can view all receipts submitted to your site.

In this screen, you will be able to see:

  • The receipt upload number.

  • The customer email address associated with the upload.

  • The date the receipt was uploaded.

  • The points the customer has been awarded, if any.

  • The level of fraud risk applied to the uploaded.

  • If the receipt has been reviewed as Approved or Rejected.

  • If the points have been awarded.

By clicking the button on the right, you can view more details about the receipt or approve it manually. Manual reviews will always overwrite automatic reviews.

By viewing the receipt details, you will be taken to the next screen, which shows more information about the receipt. For the image below, the receipt image has been removed, but this is an example of an approved receipt upload.

On the receipt details page, some of the data you will be able to see is:

  • The name of the store the receipt is from. If the store is not in your approved retailers list, you can add it automatically from her.

  • The date from the receipt.

  • The currency the receipt was paid in.

  • The ID of the receipt.

For receipt uploads that failed, it will show the reason the upload failed, as well as the option to override that decision. It will also let you know what fraud indicators have been identified in the image.




How do you customise the landing pages?

You can customise the styling of your Receipt Upload landing pages to match your branding from within LoyaltyLion.

Navigate to Display, and then click Customise on the Receipt upload page option.

Here, you will see the different pages connected to the rule, a preview of how the page will look on both desktop and mobile, and the design options you have access to.

Pages

There are five pages that your customers may see when uploading a receipt:

Landing Page: This is the page that all customers will see before uploading their receipt.

Preview: After uploading their receipt, customers will have the option to review how their image appears before it is submitted.

Loading Page: A brief loading page that the customer will see whilst we process their

receipt image upload.

Success Page: The page a customer sees when their upload is successfully received.

Error Page: The page a customer sees when their upload fails.

Design

You can add branding details, such as a logo and a favicon, to your pages.


You can also customise your colour scheme, so it matches your company branding. Changes made here will be reflected on all pages.



How does a customer upload a receipt?

Your customers can upload their receipts by going to your loyalty page, and clicking the Upload a Receipt rule.


This will take them to the Landing Page, where they are prompted to upload a receipt from their device or scan a QR code to take a picture with their phone.



FAQ

What are the reasons a receipt might be rejected?

Receipts can be rejected for the following reasons:

  • If the receipt is found to be a duplicate.

  • If the retailer is not on the approved list.

  • If the total minimum amount is less than what you have specified in the rule configuration.

  • The total amount cannot be verified/cannot be seen in the image.

  • The image is invalid, unclear, or doesn't show the correct information.

  • The receipt date is missing.

  • The receipt date is outside of the allowed timeframe.

  • The receipt was flagged by fraud detection and exceeded the allowed risk thresholds.

What are the possible fraud types that you check for?

Here are a list of fraud types that we check for:

  • Handwritten characters.

  • LCD photo, so the submission was a picture taken on a screen.

  • The upload does not contain a receipt.

  • The receipt is a duplicate.

  • The receipt has high similarity to another.

  • The receipt has been digitally tampered.

  • Receipt is flagged as AI-generated.

Do you have to list all of your retailers in the approved retailers list?

No, you can leave the list empty and this would allow receipt uploads from all retailers. You only need to list them, when you want to restrict receipt uploads from those specific retailers.

How long do you keep receipt images in your system for?

We delete receipt images after 30 days, in line with our standard data processing policies.
